Case studies.

hello EIKO’s comprehensive programs have helped leaders and teams integrate generative AI into everyday work to drive faster execution, higher quality, and happier teams.

Highlights.

Grant Proposals → More than 95% faster client-ready draft (from two weeks to two hours) with complete requirement coverage on draft one.

Client Outreach~75% faster updates and ~5+ hours/week reclaimed per team, enabling more proactive communication.

Event Recruiting~80% less effort and ~3× response rate (3% → 10%), with many non-attendees still booking follow-ups.

Case study

AI-assisted grant writing: from weeks to hours.

CONTEXT

hello EIKO partnered with a DC-based lobbying firm to jump-start practical generative AI adoption. Grant writing was noted as a painful and tedious process that was elevated as one of the top use cases to improve with GenAI.

Program Components

  • Discovery & Assessment – Survey + short interviews used to tailor the program.

  • Workshops – Hands-on sessions that build from foundations to company-specific scenarios.

  • 1:1 & Small Group Coaching – Weekly coaching to apply techniques to live client work, accelerating adoption and quality.

  • Tool Creation & Discovery – Co-created custom GPTs, prompt strategies, and evaluated third-party tools.

  • Policy & Guardrails – Co-developed practical usage guidelines so teams can move fast and stay compliant.

  • Future Planning – A simple plan to continue learning, measure impact, and scale what works.

OPPORTUNITY: GRANT WRITING

The federal grants team handled everything manually, from interpreting NOFO (notice of funding opportunity) requirements to drafting full narratives and budgets. Work was slow, compliance checks were tedious, and formatting tasks chewed up valuable time. It was a complex, multi-step process that required focused attention by both senior and junior-level staff for weeks.

WHAT WE DID

As part of the firm-wide enablement program, we conducted working sessions with the federal grants team to:

  • Map the end-to-end process and identified opportunities to create an AI-assisted workflow.

  • Collect past winning proposals as input into what future winning proposals should look like.

  • Co-create multi-step prompts and custom GPTs to surface relevant grants, produce a strong draft, and audit the adherence to NOFO requirements before human review.

  • Train staff to adjust prompts, edit GPTs, and iterate confidently.

RESULTS

95%

reduction in time to produce a client-ready draft (2 weeks → 2 hours).

100%

coverage of complex NOFO requirements on draft one thanks to an AI-driven checklist and structured prompt flow.

SMEs

Subject Matter Experts now trained and embedded in the company to continue to improve workflows with GenAI.

What surprised me most was how it surfaced answers to questions we didn’t think to ask. It sped up the busywork so much that we’re pursuing more grants and focusing our energy on strategy rather than writing proposals.

Case study

Client outreach: from ad-hoc to reliable.

CONTEXT

As part of a firm-wide enablement program, we pinpointed client engagement outreach as a high-impact quick win. Our client’s client services team regularly sent updates summarizing legislative developments and project news, but each message was crafted and double-checked manually, straining cadence and consistency.

Program Components

  • Discovery & Assessment — Documented the current outreach process and where time/quality were being lost.

  • Workshops — Turned live inputs (policy changes, client dossiers) into repeatable steps the team could run.

  • 1:1 & Small-Group Coaching — Iterated on versions so SMEs could confidently iterate as needed.

  • Tooling — Custom GPT prototyping and deployment.

  • Policy & Guardrails — Checklist + mandatory human sign-off before send, aligned to policy.

  • Future Planning — Trained staff and set a maintainable path to keep improving the workflow.

OPPORTUNITY: CLIENT OUTREACH

The baseline took ~2 hours per comprehensive update, pushing teams toward reactive, ad-hoc notes and putting niche legislative changes at risk of being missed or lightly covered.

WHAT WE DID

  1. Mapped the outreach flow to target AI-fit steps.

  2. Built three custom GPTs to be used as a reusable system for other teams in the firm.

  3. Prototyped and iterated so the team could self-tune prompts and sustain improvements.

  4. Safeguarded with an AI-powered checklist and human sign-off for every email.

RESULTS

2x

Doubled the number of outreach sent to clients while maintaining quality standards.

75%

reduction in the time needed for research, writing, and review.

5+

hours per week saved by each team using the new AI-assisted process.

We can now quickly get information out to clients and be more proactive, delivering useful updates in a timely manner instead of always playing catchup.

Event recruiting: from “email blasts” to targeted comms.

CONTEXT

As part of a broader enablement for a leadership and talent development company, we flagged event recruiting as a high-leverage sales workflow. Reps needed to fill monthly webinars and quarterly live events. Without specialized tooling, they exported contacts from Salesforce to spreadsheets, sent one-off emails to clients, and blasted generic messages to prospects.

Program Components

  1. Discovery — Documented the recruiting process end-to-end to pinpoint time/quality loss.

  2. Co-Create — Built custom GPTs to (1) identify likely-interested prospects from online activity, (2) draft tailored emails, and (3) shape LinkedIn outreach using best practices.

  3. Test & Iterate — Ran real-event pilots; enabled sellers to tweak prompts themselves.

  4. Adopt — Trained required staff and embedded human review on each outbound message.

OPPORTUNITY: EVENT RECRUITING

Baseline performance was weak and costly: opens hovered around ~3%, events under-performed, and a full recruiting push could consume ~5 days. The team was frustrated by the outcomes.

WHAT WE DID

  1. Map the flow from list curation to confirmations.

  2. Build a three-part GPT workflow: surface likely prospects → generate tailored emails → create LinkedIn messages.

  3. Pilot multiple versions with sellers; tune prompts for ownership and repeatability.

  4. Safeguard with training plus required human review before sending.

RESULTS

3x

Tripled response rates (3% → 10%), leading to stronger event turnout.

80%

less effort per event, allowing the same team to support more events.

Filling events isn’t a scramble anymore. What took nearly a week now takes a day, and even the ‘no’s’ often turn into follow-up meetings.
